What a leave application must contain

Every leave application, whatever the reason, is built from the same six parts. If one is missing the reader has to come back and ask, and that is where approvals get delayed.

A leave application does not need a subject line longer than one clause, and it does not need an apology. You are using an entitlement.

The nine kinds of leave, and which one you are actually taking

"Leave application" is one search but nine different letters. What changes between them is not the politeness — it is whether you are asking permission or giving notice, how much warning you owe, and what the reader will expect you to produce afterwards.

Getting the category right matters because it decides which balance the days come out of. Applying for "leave" without naming the type leaves that decision to whoever processes it, and it is rarely decided in your favour.

What the law actually guarantees you

There is no single national leave law covering everyone in India, which is why leave entitlements differ so much between two people doing similar jobs in different states. What applies to you depends on the kind of establishment you work in.

For most office employees the governing law is the Shops and Establishments Act of the state you work in. Each state passes its own, and each sets its own figures for casual, sick and earned leave. Maharashtra, Karnataka, Delhi and Tamil Nadu all differ. Your employment contract or the staff handbook may give you more than the state minimum, and where it does, the better term applies.

For factory workers, Section 79 of the Factories Act, 1948 sets earned leave: an adult worker who has worked 240 days or more in a calendar year earns one day of leave for every twenty days worked in the previous year, with a different rate for young workers.

Maternity leave is the one entitlement that is squarely statutory and uniform. The Maternity Benefit Act, 1961, as amended in 2017, provides 26 weeks for the first two children and 12 weeks from the third, for establishments employing ten or more people. The Act limits how much of that may be taken before the expected date of delivery, and Section 6 requires the employee to give written notice — which is precisely why the maternity variant of the generator above is worded as a notice rather than a request.

Paternity leave has no equivalent central statute for the private sector. Central government male employees have 15 days under Rule 43-A of the Central Civil Services (Leave) Rules, 1972. In a private company, paternity leave exists only because your employer's policy creates it, so cite the policy by name when you apply.

State Acts are amended, and company policy frequently exceeds the statutory floor. The numbers above are the framework, not your entitlement. The document that decides your case is your appointment letter or the staff handbook it refers to.

How much notice you have to give

Notice is where most leave disputes actually start. Almost no one is refused leave because the reason was inadequate; people are refused because the request arrived too late for anyone to cover the work.

The working rule is that notice should be proportionate to the disruption. A half day needs a morning. Three days of casual leave needs a few days. Two weeks of earned leave needs a month, because someone has to absorb your work for a fortnight and they need to know before they commit to their own deadlines.

Emergency and sick leave are the exceptions, and the way to handle them is to invert the order: phone first, write immediately afterwards. The written application then exists to create the record, not to seek permission for something that has already happened.

  • Half-day — the same morning, before the working day starts.
  • Sick leave — a phone call or message as early as you can, and the written application the same day.
  • Casual leave — three to five working days ahead.
  • Earned leave — two weeks to a month, and longer if it crosses a month end, an audit or a release.
  • Maternity leave — the written notice the Act requires, well before you intend to stop working.
  • Emergency — as soon as you physically can, and in writing the moment you are able.

Email or a printed letter?

Both are valid. What decides it is where the record has to live afterwards.

An email is right for almost all office leave. It is timestamped, it is searchable, it can be forwarded to HR without being scanned, and it proves when you sent it. Put the full letter in the body of the email, not in an attachment nobody opens, and keep the subject line to the same one clause you would have used on paper — "Application for sick leave, 14 to 16 September 2026". Copy HR if that is the practice in your office.

A printed and signed letter is right where the recipient keeps a physical file: schools, colleges, government offices, factories, and any employer whose HR process still runs on paper. If you hand one over, take a second copy and get it stamped and dated at the counter. That stamped copy is the only proof that you submitted it at all.

Where an employer runs a leave management system, use it — but still send the letter. The portal records the days; the letter records the reason and the handover, and those are what matter if the absence is questioned later.

Mistakes that get a leave application refused, or held against you later

  1. 1Not naming the type of leave. If you do not say which balance it should come from, someone else decides, and it may come out of a balance you were saving.
  2. 2Writing a paragraph of explanation. Length reads as anxiety, and anxiety invites scrutiny. One clause is enough.
  3. 3Disclosing a diagnosis you were not asked for. "I am unwell and have been advised rest" is complete. Your medical details are not your employer's business unless a certificate is formally required.
  4. 4Leaving out the handover. This is the most common reason a leave request sits unapproved: the manager cannot approve it until they have worked out the cover, so they defer it.
  5. 5Using ambiguous dates. "From Monday" is not a date. "14/09" is read as 9 April in some systems. Write the month out.
  6. 6Not stating the day count. If you write only two dates, somebody else counts them, and inclusive-versus-exclusive counting is a common source of a lost day.
  7. 7Relying on a verbal approval. Six months later, at appraisal or during a full-and-final settlement, the only thing that exists is what was written down.
  8. 8Applying after the fact for planned leave. Emergency leave applied for retrospectively is normal. A holiday applied for retrospectively is absence without leave, and it can be treated as misconduct.

Unapproved absence is a disciplinary matter, not an administrative one

Continuous absence without an approved application is what employers treat as abandonment of service, and it is the fact pattern behind most warning letters and terminations that follow. If your leave has not been approved and you have to be away anyway, put that in writing too — a record of having asked is very different from silence.

How to submit it, and what to keep

Do I have to give a reason for leave?
You have to give a reason, but it can be brief and general. "A personal commitment", "a family obligation" or "I am unwell and have been advised rest" are all complete reasons. You are not required to disclose a medical diagnosis, family details or anything private. If a formal certificate is required by policy, that is a separate document from the reason you state in the letter.
How many days of leave am I entitled to in India?
There is no single national figure. For most office employees it is set by the Shops and Establishments Act of your state and by your employment contract, and the two differ across states. Factory workers earn leave under Section 79 of the Factories Act, 1948. Maternity leave is the exception and is uniform: 26 weeks for the first two children under the Maternity Benefit Act, 1961. Can my employer refuse my leave application?
Casual and earned leave are usually discretionary, so an employer can refuse or reschedule them for genuine business reasons, and most policies say so. Statutory entitlements are different — maternity leave under the Maternity Benefit Act is not something an employer grants at its discretion. If leave is refused, ask for the refusal in writing along with the reason. That written record is what matters if the decision is later challenged.
Should I send a leave application by email or on paper?
Email for almost all office leave: it is timestamped, searchable and forwardable, which makes it better evidence than paper. Put the letter in the body rather than only as an attachment. Use a printed and signed letter for schools, colleges, government offices and any employer that keeps a physical file, and get a second copy stamped at the counter as your acknowledgement.
How do I write a leave application in Hindi?

What is the difference between casual leave and earned leave?
Casual leave is for short, unplanned personal absences, is usually taken a day or two at a time, and typically lapses at the end of the year. Earned leave, also called privilege leave, accrues in proportion to the days you have actually worked, is meant for longer planned absences, and can usually be carried forward or encashed within limits set by your policy or the applicable state Act.
What happens if I take leave without applying?
Absence without an approved application is treated as unauthorised, and continuous unauthorised absence is what employers characterise as abandonment of service. It commonly leads to a show-cause notice or a written warning, and pay for those days may be deducted. If circumstances forced you to be away before you could apply, write the application immediately afterwards and explain the sequence — a late record is far better than none.
