Bonafide certificate application

A bonafide certificate confirms that you genuinely belong to an institution — as a student or an employee. The certificate is issued by the institution on its own proforma, so what you actually write is the application, and the line that gets it processed quickly is the one naming exactly what the certificate has to say.

Build your bonafide certificate application

Who is applying, and what for?

Usually written by a parent for a younger student, and by the student from senior school onwards.

6 to go

Still needed before the letter is complete:

  • Your name
  • Class, course or designation
  • Roll number or employee ID
  • Addressed to
  • Institution or company
  • What you need the certificate for

The institution prints this on the certificate. Name the receiving authority as well as the reason.

The single most useful line in the application. Say exactly what the certificate has to state, or you will be back next week.

Quick answer

A bonafide certificate is a statement from a school, college or employer confirming that a named person is genuinely enrolled or employed there. You apply for it in writing, naming your roll number or employee ID, the purpose, and — most importantly — the exact wording the receiving authority needs on the certificate. Most delays come from omitting that last point.

Key takeaways

  • Say what the certificate must state, not just that you need one. Banks, consulates and passport offices each want different facts on it.
  • Ask for more than one copy. The receiving authority almost always keeps the original.
  • Ask for letterhead and the office seal. A bonafide certificate without a seal is routinely refused.
  • For a visa, the expected date of completion is the line that matters — it is read as evidence you will return.
  • For a passport, the address on the certificate has to match the address on your application.

What a bonafide certificate proves, and what it does not

A bonafide certificate answers one narrow question: is this person genuinely what they claim to be within this institution. It confirms enrolment or employment, the period, and usually the course or role. That is all.

It is not a character certificate, which speaks to conduct. It is not a marksheet, which speaks to performance. It is not an experience letter, which describes what you did. Institutions issue all of these from the same office, which is why people ask for the wrong one and discover the mistake at the counter where it was needed.

The reason it exists is that a great many transactions in India need proof of current status rather than proof of history — a student bank account, a concession, a visa where the consulate wants to know you have a reason to come back, a passport where the address needs corroborating. Each of those readers wants slightly different facts stated, which is why the application has to say what they are.

What each receiving authority actually wants on the certificate
Needed forThe certificate must state
Student bank accountFull-time enrolment, course name, course duration
Education loanCourse, duration, expected completion, and usually the fee structure alongside
Passport applicationStatus, period, and your address exactly as in the application
Visa applicationStatus, course or role, and the expected date of completion
Scholarship or fee concessionEnrolment, current year or semester, and often the fee paid
Rail or bus concessionFull-time status and the home-town address
Employment verificationDesignation, date of joining, and current employment status

What the application has to contain

The fourth item deserves its own paragraph, because it is the difference between a certificate that works and one that has to be re-issued.

An institution's default bonafide certificate is short: it says the person is a bona fide student of a named course and nothing more. If your bank needs the course duration, or your consulate needs the expected completion date, and the application did not ask for them, you will get the default version. Writing one sentence — "the certificate is required to state that I am a bona fide full-time student, the course duration, and my expected date of completion" — is what avoids that.

  1. 1Who you are: name, class or course, and your roll number or employee ID. The office files by that reference.
  2. 2How long you have been there. It appears on the certificate and saves the clerk looking it up.
  3. 3The purpose, named specifically — including the receiving authority, not just the reason.
  4. 4The wording required. This is the field people leave blank, and it is the one that prevents a second trip.
  5. 5The number of copies, and the date by which you need them.
  6. 6A note that a copy of your identity card is enclosed and the fee will be paid at the counter.
💡
Ask the receiving authority first

Before you write the application, ask the bank, consulate or office exactly what the certificate has to say. Most have a checklist. Five minutes there saves a fortnight of re-issues, because institutions are slower to correct a certificate than to issue one.

For students — school, college and university

For a school student, the application is usually written by a parent up to the middle years and by the student from senior school onwards. Either is accepted; what matters is that the class, section and admission number are correct.

For college and university students, the request goes to the principal, the registrar or the examination section depending on the institution's structure, and it is worth finding out which before you submit — an application sitting in the wrong office is the most common cause of delay.

Two practical habits make a large difference. Ask for two copies rather than one: the receiving authority will keep the original and you will need another the next time. And ask for the office seal explicitly. Many institutions issue a signed but unsealed certificate as their default, and a great many banks and consulates will not accept one.

  • Find out which office issues it — principal, registrar, examination section or the student desk.
  • Quote the roll number or admission number exactly as it appears in the institution's records.
  • Ask for two copies, on letterhead, with the office seal.
  • Where a fee is prescribed, pay it at the counter and keep the receipt.
  • Give a realistic date you need it by, and allow at least a week.

For employees

The employee version is more often called an employment certificate or an employment verification letter, and asking for a "bonafide certificate" at some HR departments produces a blank look. Use both terms in the application so it is understood.

What it confirms is your designation, your date of joining and that you are currently in service. Some employers include the salary; most will not unless you ask, and whether you want them to depends on the reader — a bank considering a loan wants it, a landlord probably does not need it.

Ask for it on letterhead with the signatory's name and designation printed underneath. Verification teams routinely call the number on the letter, and a certificate signed only "for the company" cannot be verified. If your employer has an internal request form, ask for it in the same email rather than waiting to be told about it.

For a passport and for a visa — the two most exacting readers

These two reject more bonafide certificates than everyone else combined, and for opposite reasons.

The passport authority is checking consistency. The address on the certificate has to match the address on your application, and if the institution has an old address on file, the certificate will carry it and the mismatch will hold up your file. Ask the office to record the address you have used in the application, and confirm before it is printed that they have.

A consulate is checking whether you will come back. The single most useful line on a student certificate for a visa is the expected date of completion, because it establishes that you have an ongoing commitment in India that ends after the proposed travel. A certificate confirming enrolment without saying when the course ends does far less work. For employees, the equivalent is a statement that you are expected to resume duties, which belongs on an employer NOC rather than on the bonafide certificate itself.

For both, ask for a contact number on the certificate. Verification calls are routine, and a certificate with no way to verify it is treated with suspicion.

⚠️
A bonafide certificate is not an NOC

For a visa you will usually need both: a bonafide certificate confirming your status, and a no objection certificate confirming that leave is sanctioned and you are expected back. They are different documents from the same office. Ask for both in one request.

Why applications get delayed, and how to avoid it

  1. 1The application went to the wrong office. Find out who issues it before you submit.
  2. 2The required wording was not stated, so the default certificate was issued and did not meet the requirement.
  3. 3Only one copy was requested, and the receiving authority kept it.
  4. 4No seal, because the application did not ask for one and the office default is unsealed.
  5. 5The roll number or employee ID was wrong or omitted, so the record could not be located.
  6. 6The prescribed fee was not paid, and nobody told the applicant there was one.
  7. 7It was asked for two days before it was needed. Allow a week, more in an examination period.
  8. 8The address on the certificate did not match the address on the passport application.

Worked examples

Example 1: College student opening a bank account

Applicant
B.Tech student, Semester VI
Purpose
Opening a student bank account
Bank needs
Full-time status, course duration, expected completion
  1. 1.Ask the bank first what the certificate has to state, then write the application around that answer.
  2. 2.Use the college variant, and put the required wording in its own sentence in the application.
  3. 3.Ask for two copies, on letterhead, with the office seal — the bank keeps the original.
  4. 4.Give a date you need it by that allows a week, and enclose a copy of your college identity card.
  5. 5.Check the printed certificate against the bank's checklist before you leave the office counter.
Result

One visit to the office and one visit to the bank, instead of a certificate that says less than the bank needs and a second application a week later.

Example 2: Student applying for a visa

Applicant
University student
Purpose
A short visit abroad during the vacation
Consulate needs
Status, course, expected completion date
  1. 1.Use the visa variant and ask explicitly for the expected date of completion to be stated.
  2. 2.Ask for a contact number on the certificate — consulates verify, and an unverifiable certificate is treated with suspicion.
  3. 3.Ask for the certificate and a no objection certificate in the same request; you will need both.
  4. 4.Request two copies with the office seal, and allow at least a week.
  5. 5.Keep a scan before you submit, because the consulate will not return it.
Result

A certificate that tells the visa officer what they are actually assessing — that the applicant has a course to come back to and a date on which it ends.

More questions about this page

What is a bonafide certificate?
A bonafide certificate is a statement issued by a school, college or employer confirming that a named person is genuinely enrolled as a student or employed there, usually with the course or designation and the period. It proves current status. It is not a character certificate, a marksheet or an experience letter, though the same office often issues all of them.
How do I write an application for a bonafide certificate?
Address it to the principal, registrar or HR head. State your name, class or designation, and your roll number or employee ID, and say since when you have been there. Name the purpose specifically, state the exact wording the receiving authority requires, ask for the number of copies you need and the date you need them by, and enclose a copy of your identity card.
How long does a bonafide certificate take to issue?
Typically two to seven working days, and longer during examination periods or admission season. Apply at least a week before you need it. Delays are usually administrative — the application went to the wrong office, the roll number was wrong, or a prescribed fee had not been paid — rather than because the request was refused.
What should a bonafide certificate contain for a bank account?
Your full name, that you are a bona fide full-time student, the name and duration of the course, and your current year or semester. Banks offering education loans usually want the expected date of completion and the institution's fee structure as well. Ask your branch for their checklist before applying — the requirement varies between banks.
Is a bonafide certificate the same as a character certificate?
No. A bonafide certificate confirms that you genuinely belong to the institution — that you are enrolled or employed there. A character certificate speaks to your conduct during that period. They are different documents and are frequently required together, so it is worth asking for both in a single application to the same office.
Do I need a bonafide certificate for a passport?
It is commonly asked for from students and is used to corroborate your status and address. The critical point is that the address on the certificate must match the address in your passport application — if the institution has an older address on file, the mismatch will hold up your file. Ask the office to record the address you have used and confirm it before the certificate is printed.
Can an employer refuse to give a bonafide certificate?
An employer is not generally obliged to issue one, though most do as a matter of routine. Refusals are usually about a disputed exit rather than about status. If you are refused, ask in writing and keep the response; a payslip, appointment letter and Form 16 together will satisfy many readers who ask for an employment certificate.
How many copies of a bonafide certificate should I ask for?
At least two. The receiving authority — a bank, a consulate, a passport office — almost always keeps the original and does not return it, and a second request takes as long as the first. Ask for both copies on letterhead with the office seal, and scan them before you hand one over.
