A declaration letter is a signed statement of fact given for a stated purpose. It names you, states the fact precisely, names the purpose, and confirms that the statement is true to the best of your knowledge and that nothing material has been concealed. When a declaration is the right document
A declaration sits between a casual assurance and a sworn affidavit, and it is the correct choice more often than people think.
It is right where an institution needs a fact recorded in your own words and signature, and where no statute directs how that fact must be proved. A bank asking about your income for a small loan, a school asking a parent to confirm a fact, an employer collecting a no-dues confirmation on exit, an authority asking you to confirm that the certificates you submitted are genuine — all of these are ordinarily satisfied by a declaration.
It is the wrong choice in two situations. Where a statute or a court has prescribed an affidavit — commonly for name changes, for court filings, and for several passport and immigration purposes — a declaration will simply be refused. And where the fact is one the institution can verify itself from a primary source, such as salaried income evidenced by Form 16, a declaration is usually treated as a poor substitute rather than an alternative.

How to structure the statement
The second step is where most declarations fail. "My income is sufficient" is not a fact. "My total income from all sources for the financial year 2025-26 was ₹4,80,000" is a fact, and it is one that can be checked, which is precisely what makes it worth something to the reader.
The fourth step is the one people leave out. Adding that you undertake to produce income tax returns or bank statements if called for costs you nothing if you are being honest, and it substantially raises how seriously the declaration is taken.

- 2State the fact in one sentence beginning "I declare that…". Put figures in numerals, and name the period the fact relates to.

Income declarations — the most common, and the most scrutinised
Most declaration requests are about income, and they come from three directions: banks and lenders, educational institutions considering a fee concession or scholarship, and government schemes with an income ceiling.
Where you are salaried, a declaration is rarely enough on its own, because Form 16 and salary slips exist and the institution will ask for them. The declaration is genuinely useful where you are self-employed, working informally, earning from freelance or agricultural work, or where household income comes from several small sources that no single document captures.
Say what your occupation is, give the total from all sources rather than one source, name the financial year, and explain in one clause why no Form 16 exists. That last point converts what otherwise reads as an omission into an explanation.
Be careful about the figure. An income declaration made to obtain a benefit, where the figure is knowingly understated, is not a technicality — it can void the benefit and expose you to action for the misstatement. Where you genuinely do not know the exact figure, say it is an estimate and say so in the document.
Many schemes ask for an income certificate issued by a tehsildar, SDM or revenue officer, not a self-made declaration. They are different documents from different sources, and one will not be accepted in place of the other. Read the requirement carefully before you draft anything.
No dues declarations, and why you should get them countersigned
A no dues declaration is given on exit — from a job, a tenancy, a society, a course. It states that nothing further is owed, that everything belonging to the other side has been returned, and it is usually the last document exchanged before the relationship closes.
Its value depends entirely on the other side accepting it. A declaration you write and sign yourself proves what you said; it does not prove they agreed. So ask for it to be countersigned, or ask them to issue their own no dues certificate in return. On leaving a job this matters practically: an unsettled dues question is one of the common reasons a full-and-final settlement or a relieving letter is delayed.
List what you have returned rather than saying "all company property". Laptops, access cards, keys, SIM cards and documents are the items that come back to cause arguments, and naming them closes the argument in advance.
Declaring that your documents are genuine
Employers, universities and licensing authorities increasingly ask for a declaration that the certificates you have submitted are genuine. It is a short document, and it is worth reading before you sign it.
What you are confirming is that each document was issued by the authority whose name appears on it and has not been altered. You are usually also accepting that if a document is found to be false, the application or engagement can be cancelled — and that consequence typically survives the completion of probation, so a fabricated certificate discovered years later is still grounds for termination.
Two practical points. First, do not sign it before you have actually checked what was submitted on your behalf, particularly where a consultant or agent prepared your file. Second, add the undertaking to produce originals for verification, because it demonstrates confidence and makes the declaration more persuasive.
- Name the documents you are declaring on, rather than referring to "the documents submitted".
- Confirm each was issued by the authority whose name it bears and has not been altered.
- Offer the originals for verification whenever called for.
- Acknowledge the stated consequence of a false document.
- Keep the list — it is the record of exactly what you submitted and when.
Mistakes that get a declaration rejected
- 1Declaring several unrelated facts in one document, so the reader cannot tell which one the purpose depends on.
- 2Writing an opinion instead of a fact. "My income is adequate" is not declarable; a figure is.
- 3Omitting the purpose, which makes the declaration open-ended and invites the reader to wonder what else it might be used for.
- 4Leaving out the truth clause, which is the sentence that makes it a declaration rather than a note.
- 5Using a declaration where an affidavit was asked for. Read the requirement; the two are not interchangeable.
- 6Using a declaration where an income certificate from a revenue officer was asked for.
- 7Giving a round figure you have not checked. If it is an estimate, say so.
- 8Not keeping a copy, so you cannot say later what you declared.
