A self declaration is a signed statement about your own circumstances, made where no independent certificate exists for the fact. It states your identity, the fact, the purpose, and a confirmation that it is true and that nothing material has been concealed. The five facts it is most often used for are address, income, marital status, an education or career gap, and employment status.

When a self declaration is the right document
A self declaration exists to solve one problem: an institution needs a fact about you recorded, and no independent document establishes it.
Some facts genuinely have no certificate. There is no authority that certifies you were caring for an unwell parent for eleven months, or that a freelance practice earned roughly what you say it earned, or that you have lived at an address since a particular month when the tenancy was informal. In those cases the institution has a choice between taking your written word or refusing to proceed, and the self declaration is the form that word takes.
Other facts do have certificates, and there the declaration is the wrong instrument. Marital status is evidenced by a marriage certificate or a decree. Income below a scheme threshold is usually evidenced by an income certificate from a tehsildar or SDM. Salaried income is evidenced by Form 16. Offering a self declaration where one of these exists reads as avoiding the document rather than substituting for it.

Declaring your address
The address declaration is the most requested of the five, and it comes up in police verification for a passport, gas connections, bank KYC, driving licence applications and school admissions.
What the reader wants is not merely the address but the continuity: how long you have been there. Give a start date rather than a duration, because a date can be checked against other documents and "about three years" cannot.
Two additions make it much stronger. Say that it is your only place of residence, if that is true — the reader is often trying to rule out a second address elsewhere. And undertake in writing to notify a change of address, because the institution's real concern is being able to find you later.
Where the accommodation is rented, an address self declaration is frequently paired with a landlord NOC. The declaration is what you say; the NOC is the landlord confirming it. Together they are usually enough where a registered rent agreement does not exist.
Declaring an education or career gap
This is the declaration people find hardest to write, and the difficulty is almost entirely about tone rather than content.
A gap in an education or employment record is ordinary. People prepare for competitive examinations, care for family members, recover from illness, try a business that did not work, or simply take time between roles. Admissions offices and employers see gaps constantly, and a gap that is explained plainly is rarely the thing that decides an application.
What causes a problem is an unexplained gap, because the reader is left to fill it in themselves. So state the period with dates, say what you were doing in one clause, and then add the three confirmations institutions are actually screening for: that you were not employed anywhere during the period, that you were not enrolled in a course, and that you were not involved in anything of a criminal nature.
Do not apologise, and do not over-explain. A single honest clause reads far better than a paragraph of justification, and the paragraph invites follow-up questions the clause does not.
If you know your record has a gap, prepare the declaration in advance and keep it with your documents. Producing it unprompted at verification is treated as candour; producing it after a discrepancy is raised is treated as a response to being caught, even when the content is identical.
Income, marital status and employment
Across all three, the discipline is the same as for any declaration: state a checkable fact, name the purpose, and invite verification. A self declaration that offers to be checked is treated as candid; one that offers no route to verification is treated as a claim.
On income in particular, resist the temptation to round to a comfortable figure. If you do not know the exact number, say the figure is an approximation of your earnings — the generator above words it that way for exactly this reason.
- Income: give the annual total from all sources, name the financial year, say what your occupation is, and explain why no Form 16 exists. Offer bank statements or invoices for verification.
- Marital status: state the status as on the date of the declaration, and add that no proceeding affecting it is pending before any court. That second clause is what the reader is checking for on a visa or a pension file.
- Employment: say what you do, confirm it is your sole occupation, and offer a contract, an employment letter or invoices in support. Lenders and landlords ask for this where employment is informal.
Format, stamp paper and notarisation
A self declaration is normally accepted on plain paper, signed and dated, with your Aadhaar or PAN quoted so the institution can match you to its records. It does not create an obligation, so stamp duty does not usually arise.
Some institutions ask for it on stamp paper of a nominal value as a matter of their own practice, and some ask for it to be notarised. Neither is a legal requirement flowing from the nature of the document — they are requirements of the body asking. Since stamp duty is a state subject and practice differs, ask the receiving institution what they want before you spend anything at a typing shop.
Where a passport office, a court or an immigration authority asks for a sworn statement, a self declaration will not do. That is an affidavit, sworn before a notary or oath commissioner, and the difference is not one of formatting.

Mistakes that get a self declaration returned

- 3Leaving a gap unexplained while declaring its dates, which is worse than not mentioning it.
- 4Offering a self declaration where an income certificate from a revenue officer was specifically asked for.
- 5Stating a marital status without adding that no proceeding affecting it is pending.
- 6Quoting a precise income figure you have not actually calculated.
- 7Using a declaration where the authority asked for an affidavit — most passport and court purposes.
