A joining letter confirms that a person has started work in a named role from a specific date. The employee version reports for duty and lists the documents submitted; the company version acknowledges the joining and confirms the position, location and reporting line. It records the date of joining — it does not set the terms of employment, which is what the appointment letter does.

Offer letter, appointment letter, joining letter — three different things
These three are constantly confused, and the confusion has consequences, because only one of them contains your terms of employment.
The offer letter is the proposal. It states the role and the headline compensation, is usually conditional on verification and on your producing a relieving letter, and it lapses if you do not accept by a stated date. It is not the contract.
The appointment letter is the contract. It sets out the full terms: salary structure, working hours, leave, probation, notice period, confidentiality, intellectual property and the grounds on which employment may be terminated. This is the document that governs the relationship, and it is the one to read carefully before signing.
The joining letter records the fact of joining and the date. It is short by design. It does not create terms and does not vary the appointment letter.
The practical warning is this: if you have accepted an offer and started work but have never received an appointment letter, you do not have your terms of employment in writing. Ask for it, in writing, and keep the request.

Why the date of joining is worth documenting
It looks like an administrative detail. It is the date from which several entitlements are measured, and disputes about it are surprisingly common — usually when someone started mid-week, or joined a day early, or began working remotely before formally reporting.
Gratuity eligibility is measured in continuous service, and the threshold is a period of years — so a start date a few weeks either side of a boundary can matter. Leave accrual usually runs from the date of joining. Probation, and therefore the notice period applicable during it, runs from that date. Increment and appraisal cycles are frequently anchored to it. And in a full-and-final settlement, the date of joining is one half of the calculation.
None of that is a problem while the relationship is good. All of it becomes a problem in a disputed exit, which is exactly when the person who could have confirmed the date informally has left the organisation.
Submit the joining report, then ask HR to confirm your joining in writing for your records. It takes them a minute on the day you join and it is very hard to obtain three years later.
The documents you hand over, and why to list them
Every employer collects the same broad set on joining: identity and address proof, PAN, educational certificates, the previous employer's relieving letter and experience letter, recent payslips, and bank details for salary credit.
List them in the joining letter rather than handing over a folder. It takes one line and it does two useful things. It closes the file, so nobody comes back a month later asking for something you already gave. And it protects you if a document is later said to be missing — a listed submission is a record, an unlisted one is a memory.
Where something is genuinely not available — a marksheet still awaited, a relieving letter caught in a previous employer's process — do not stay silent. Say what is missing and give a realistic date, and back it with an undertaking. Employers routinely accept that; what they react badly to is discovering the gap themselves during verification.

- Bank account details for salary credit, and UAN if you have one.

Writing it as the employer
The company version confirms the joining and, in doing so, closes the loop on the offer. It should state the position, department, location, reporting line and the effective date, and it should acknowledge the documents received.
Two things belong in it that are often left out. First, a sentence making continued employment subject to satisfactory verification of the documents and background — this preserves the employer's position where a certificate later turns out to be false. Second, a sentence confirming that the appointment letter continues to govern the terms, so the joining letter is not read as varying anything.
Where the appointment is on probation, say so here as well as in the appointment letter, state the period, and say that confirmation depends on a satisfactory review and will be issued in writing. Probation that is never formally confirmed or extended causes real difficulty later, because the employee's status becomes ambiguous.
Joining after an internal transfer
When an employee moves between locations within the same organisation, the service record has to show when duty began at the new posting. A short joining report at the new location does that.
It should reference the transfer order, state the date duty began, confirm that the handover at the previous location was completed, and name the new reporting manager. Ask for it to be acknowledged in writing.
This matters more in banks, government departments and any organisation where postings are formally recorded, because location and continuity of service both feed into seniority and future postings. In a small company it is a courtesy; in a large one it is the document that keeps the record straight.
Mistakes worth avoiding
